Nivesh Sahayak ExpensesFree expense book: business expenses by type and month

Free expense book: where your money goes, month by month

Write every business expense once: rent, electricity, salaries, transport, repairs, phone. The expense book adds them up by type and by month for the whole financial year, shows this month and your biggest expense, and keeps the GST you will claim back apart from the cost. Free, no login, and it stays in this browser.

How to use the expense book

  1. Add your business once. Your name, address and state are typed once in My data, so the expense book prints with your details.
  2. Write each expense. "Expense" asks for the date, the expense type (rent, electricity, salary and wages…), the amount and how you paid. Types you type yourself are kept too, so "Shop cleaning" becomes its own line.
  3. Add the details that matter. Write who you paid and their bill number. If the amount includes GST, pick the rate and tick "I will claim input tax credit on this GST" when you are registered and the credit is allowed.
  4. Not paid yet? Pick "Not paid yet (on credit)" in "Paid by". The expense still counts in its month, and the amount shows in "Dues › To pay" as money you owe that person.
  5. Read the expense book. "Expense book" shows a table of every expense type against the twelve months from April to March, with totals, this month and your biggest expense. Change the financial year at the top.
  6. Print or share. Print the expense book, save it as a PDF, or download a CSV file that opens in Excel for your accountant.

What it does for you

One set of books, many doors

Expenses is one part of the free Nivesh Sahayak App. Everything you enter here is kept in this browser on this device, in the same data home as the app and every Nivesh Sahayak document maker (my.niveshsahayak.in). Bills made on the billing site show up here by themselves, and entries made here show up in the app. There is no account and nothing is uploaded to us.

Keep a backup. If the browser's data is cleared, saved work in it is gone. Open My data (top of the page) and press Save a backup file now and then. One file holds every bill, payment, customer and supplier, and restores them on any other computer or phone.

Questions people ask

Is this expense book really free?

Yes. There is no login, no fee and no limit on entries. It runs in your browser and your data stays on your device.

What is the difference between an expense and a purchase?

Goods you buy to sell, and raw material, are purchases and go in the purchase register (purchase.niveshsahayak.in). Rent, salaries, electricity, transport and other running costs are expenses and go here.

Can I add my own expense types?

Yes. Type any name in "Expense type". The twelve common types are suggested, and your own names are remembered and get their own row in the expense book.

Why is the GST not in my expense total?

When you tick "I will claim input tax credit on this GST", the GST comes back to you as credit, so it is not a cost. Leave the box unticked when the credit is not allowed, and the full amount is counted.

Does it work offline and on a phone?

Yes. Once the page has loaded it works without internet, and you can add it to your phone's home screen from the browser menu.

Can my accountant get the figures?

Yes. Print the expense book, share it as a PDF, or download it as a CSV file that opens in Excel.
